Terms & Conditions – Espresso Cart Events
These Terms & Conditions govern all espresso cart event bookings with Black Coffee Roastery (“BCR”). By confirming your booking, you agree to the following:
1. Booking & Confirmation
- All event reservations are confirmed only upon receipt of a signed proposal or acceptance through the official quote platform (e.g., FlashQuotes) and payment of any required deposit.
- Final guest count, service details, and event timeline must be provided at least 7 business days before the event.
2. Payment Terms
- A 30-50% non-refundable deposit is required to secure the date.
- The balance is due no later than 7 business days prior to the event, unless otherwise agreed in writing.
- Payments not received on time may result in cancellation without refund of the deposit.
3. Cancellation & Refunds
- Cancellations made more than 14 days before the event: deposit is retained, but no further balance is due.
- Cancellations made within 14 days of the event: full balance is due.
- If BCR cancels for reasons outside of client control, all payments will be refunded in full.
4. Service Hours & Overage
- Standard service time is outlined in the event proposal (usually 2–4 hours depending on package).
- Additional hours are billed at previously specified service rate per hour (or portion thereof), payable on the day of service.
5. Power & Setup Requirements
- Client must ensure access to one (1) 20-amp dedicated circuit (110–120V) within 50 feet of the cart.
- If sufficient power is unavailable, client must notify BCR in advance so a generator can be arranged (additional fees apply).
- Setup/teardown typically requires 60–90 minutes before and after service.
6. Access & Parking
- Client is responsible for informing BCR on parking/loading access for the cart and equipment.
- Any venue fees (e.g., parking, permits, elevator access, etc.) are the responsibility of the client.
7. Menu & Consumption
- BCR provides the agreed-upon beverage menu and service style.
- If the event requires paid drinks for non-attendees (e.g., general public access), this must be arranged in advance.
8. Liability & Safety
- BCR carries general liability insurance and operates under county health permits.
- Client is responsible for ensuring safe and suitable working conditions at the venue.
- BCR is not liable for venue restrictions, delays, or damages outside of its control (e.g., power outages, inclement weather, or venue limitations).
9. Staff & Conduct
- All BCR staff are trained baristas and will be dressed in professional attire (all black unless otherwise agreed).
- Client agrees to maintain a safe, respectful environment for staff. BCR reserves the right to stop service if staff safety is compromised.
10. Force Majeure
- Neither party shall be liable for failure to perform due to causes beyond their control (including but not limited to natural disasters, strikes, pandemic restrictions, or government orders).
11. Governing Law
- These Terms & Conditions shall be governed by the laws of the State of California.
